Cost & timing

What does participant recruitment for qualitative market research cost?

Cost depends above all on the target group, the number of participants, the method, session length, the verification effort required and the timeline. A widely available B2C audience is usually less expensive to recruit than specialised B2B decision-makers, healthcare audiences or very rare profiles. Insight Fox therefore does not quote flat fixed prices without project context. Our project assessment gives you an initial, non-binding price orientation. A binding offer is only prepared after we have personally reviewed the target group and requirements.

What drives recruitment costs?

The main cost drivers are how rare the target group is, the number of criteria, regional restrictions, the verification effort required, the number of participants, the speed of recruitment and the level of incentives. Method matters too: a straightforward remote IDI is costed differently from a demanding ethnographic project or a very short-notice B2B recruitment. What matters is not just finding someone who formally passes the screener, but making sure the person is genuinely suitable.

How long does recruitment usually take?

In many projects Insight Fox can recruit very quickly. What matters to us, however, is not maximum speed but the quality of the participants. Real people need to fit an interview or a research study into their everyday lives – and that sometimes takes a little lead time.

In B2B in particular, suitable professionals and executives cannot be “produced” at arbitrarily short notice. They have full calendars and internal commitments and need to plan time for participation. Extremely fast recruitment is therefore not automatically a sign of quality. On the contrary: if demanding target groups appear to be effortlessly available within a very short time, it is worth taking a closer look.

We work fast, but not at the expense of quality. For straightforward B2C audiences, recruitment can often be completed within a few days. For more complex B2B, healthcare or niche audiences we plan the necessary lead time realistically. If a requested schedule is not credibly achievable in our view, we say so openly before the project starts.

Is there a minimum project size or budget?

We look at every project individually. Very small projects can make economic sense if the target group is clearly defined and easy to reach. With demanding target groups, however, there is a certain base effort for project management, screening, validation and quality assurance regardless of the number of participants. Small projects may therefore involve a minimum effort. The specific assessment is always project-related.

What is an appropriate participant incentive?

The incentive should match the target group, the duration and the effort involved in taking part. A short B2C study calls for a different incentive than a one-hour B2B IDI with a hard-to-reach executive. Incentives that are too low make recruitment harder and can compromise sample quality. Incentives that are too high, in turn, can attract the wrong applicants. We therefore recommend realistic, market-appropriate incentives for the respective target group.

Can you take on very short-notice projects?

Yes, provided the target group and the requested timeframe are realistic. For short-notice projects we check particularly carefully whether speed and quality are compatible. We do not promise a date just to win an order. If a target group cannot credibly be recruited within the requested window, we say so openly.

Quality & screening

How do you make sure participants genuinely fit the target group?

We do not rely on online screeners alone. Qualified candidates are additionally checked in person. We verify relevant details, assess motivation and communication skills and watch for inconsistencies. For B2B audiences, professional details can also be verified via publicly accessible sources. Our aim is not the largest possible number of matches, but the right participants for the specific research objective.

How do you check screener responses?

Screener responses are reviewed manually. Among other things, we look for contradictory statements, implausible response patterns, conspicuous wording and criteria that do not fit together. Candidates are never accepted or excluded automatically on the basis of a single algorithm. Where anything is unclear, we follow up personally.

Why do you also conduct personal phone interviews?

An online screener shows whether someone formally meets the criteria. It says little about whether the person understands the topic, genuinely belongs to the target group, is motivated or can express themselves meaningfully in a qualitative interview. Personal contact is therefore a central part of our quality assurance. For complex B2B or niche projects in particular, this step can be decisive.

How do you spot professional respondents or so-called research “pros”?

We look at participation history, response behaviour, motivation and the plausibility of the information given. Conspicuous candidates are examined more closely. Frequent study participation is not automatically a reason for exclusion, but it can be relevant if it affects suitability for the specific project. The goal is an authentic sample, not a group of seasoned participants who have learned how to pass screeners.

How do you prevent fraud and false identities?

We combine several checks. These include personal contact, plausibility checks, cross-referencing existing data, duplicate detection and, for B2B projects, verification of professional information via publicly accessible sources where appropriate. Suspicious or contradictory cases are never released automatically.

Target groups & feasibility

Which target groups can Insight Fox recruit?

We recruit B2C and B2B target groups for qualitative market research, UX research and related research formats. These include general consumers, specific user groups, professionals, decision-makers, executives and other specialised profiles. What matters is not the label of the target group, but whether it can realistically be reached and credibly verified.

Do you recruit healthcare target groups?

Yes, provided the specific target group and study design can be implemented credibly. Healthcare projects often require additional care in verification, data protection, incentives and communication. We therefore examine the requirements particularly closely before the project starts.

Can you recruit decision-makers and executives?

Yes. With decision-makers in particular, however, the key question is whether the requested role is actually involved in the relevant process. A job title alone is not enough. Wherever possible, we therefore check function, area of responsibility and involvement in the specific decision.

When do you decline a recruitment project?

We decline projects when we cannot credibly recruit the target group under the given conditions, or when the quality requirements are incompatible with the budget or timeline. Unrealistic quotas or contradictory criteria can also be a reason. In our view, an honest no before the project starts is better than a project that fails later.

Process & collaboration

How does a recruitment project with Insight Fox work?

At the outset we clarify the target group, method, number of participants, duration, schedule and relevant criteria. We then assess feasibility and align the screener. Potential participants are identified, screened, reviewed manually and, if suitable, validated personally. During recruitment, clients receive regular updates. Before the sessions we reconfirm participants and support the project through to the end of fieldwork.

How often do clients receive status updates?

We report proactively on project progress. The exact frequency depends on the project. If difficulties or delays arise, we do not wait to be asked – we get in touch early with an assessment and possible ways forward.

Can clients see the project status online?

Yes. A customer dashboard is available for commissioned projects. There, clients can see project status, progress, published quotas, relevant milestones and current project updates, among other things. The dashboard serves transparency, not the operational control of the project.

Data protection & reach

Is recruitment GDPR-compliant?

Data protection is a central part of our processes. Personal data is processed only for the respective purpose, and access is restricted according to roles and project requirements. Which data is processed and which rights data subjects have is explained in detail in our privacy policy. For sensitive projects we assess additional requirements on a project basis.

Which participant data does the client see?

No personal participant data is displayed in the customer dashboard. Clients see project-related information such as progress, quotas, milestones and status updates. Which personal information is required as part of the actual research depends on the respective study design and the agreed processes.

Do you recruit across Germany and internationally?

In Germany we recruit in major cities as well as in smaller towns and rural regions. For international projects we work with long-standing local partners. Insight Fox deliberately positions itself as a specialist for the German market rather than an anonymous global panel platform. For international projects we coordinate recruitment with suitable partners on the ground.
