Recruitment for focus groups and group discussions
For institutes, agencies and companies that need groups with the right mix, where every person can contribute and reliable attendance on the day is the stated goal.
What this service is for
Classic studio focus groups, on-site group discussions, online groups and mini-groups. In a group, a single miscast has a bigger effect than in an individual interview: one person who doesn't fit or dominates changes the dynamic for everyone.
What we need in the briefing
- Number of groups, group size, duration, venue or platform and dates
- Quota plan: which characteristics should be mixed or separated per group
- Exclusions, e.g. industry, recent group participation, participants knowing each other
- How many backups per group are wanted and how they are handled
- Requirements for travel, venue accessibility and timing
What we look for in selection
- Balanced quotas per group, not just across the whole project – so no group is one-sided.
- Suitable expression: participants should be able to describe their experiences clearly. That does not mean only especially articulate people qualify – ordinary, less practised voices explicitly belong.
- Check study experience: we ask about previous participation (when, topic, method, frequency) and check contradictory answers. Frequent participation is not an automatic exclusion – suitability depends on the study’s requirements and the project exclusions agreed with you.
- Group compatibility: we clarify whether participants know each other or are in professional dependency.
- No coaching: we explain process, venue and time – not what ‘goes down well’ in the discussion.
Process
- Agree quota plan and session planning together
- Screener with quota logic; manual review of every response
- Personal phone call: clarify criteria, expression and availability
- Invitation with venue, time, travel and contact person
- Confirmation and reminder; backups in the number agreed with you
- Ongoing quota status and early notice if a cell is hard to fill
What you receive
- Group overview with quota fulfilment per session
- Participant list in the agreed, data-minimised scope for reception and moderation
- Status on confirmations, backups and deviations
What drives effort and timing
Number and size of groups, quota complexity, venue and travel, timing (e.g. evening sessions), backup arrangements and lead time. We do not quote flat prices without project context. The project assessment gives a non-binding first orientation; a binding offer follows after personal review.
Reach and team
We recruit across Germany – in major cities as well as smaller towns and rural regions – for remote sessions and on-site appointments. Insight Fox is run by the WMM GmbH team, which has worked in qualitative fieldwork since 2004. Insight Fox was launched in 2026 as its specialised participant recruitment brand.
Frequently asked questions
Do you plan backups?
Yes, where agreed with you. The number of backups and how they are handled (e.g. compensation if not used) are agreed together before the project starts.
Do you only recruit articulate participants?
No. We make sure people can describe their experiences clearly. Excluding less practised participants would distort the group.
How do you handle quotas that are hard to fill?
We report it early with the concrete status and proposals, rather than surprising you with incomplete groups just before the date.
